The Hidden Costs of a Traditional AC AMC – What Most Business Owners Don’t Read

Every summer, across offices, clinics, salons, and shops in Mumbai and Delhi, the same conversation happens. The AC breaks down. The business owner calls their AMC provider. And then comes the sentence that nobody warned them about: “This repair isn’t covered under your contract.”

The Annual Maintenance Contract for air conditioning is one of the most widely misunderstood service agreements in Indian business. Not because it is dishonest – most AMCs are exactly what they say they are. But because most business owners sign them without reading what they actually exclude. And in commercial AC servicing, the exclusions are where the real costs live.

What a Standard Non-Comprehensive AMC Actually Covers

There are two types of AC AMC in India. The first, and more common for small businesses, is the non-comprehensive AMC. This covers labour for scheduled maintenance visits – typically two to four per year – and the technician’s time during those visits. It covers basic filter cleaning, coil inspection, and a general check of the unit’s operation.

What this means in practice: if your compressor fails, you pay for the replacement – which can run from ₹8,000 to ₹25,000 depending on the unit. If the PCB board faults, you pay. If the motor goes, you pay. If the gas needs topping up beyond the single refill typically included, you pay. The Comprehensive AMC – Better, but Still Not Complete

The comprehensive AMC is more expensive and does cover spare parts and major repairs alongside labour. On paper, this looks like the solution. In practice, it comes with its own set of exclusions that most business owners only discover when they try to make a claim.

The “misuse” exclusion is one of the most frequently invoked and most broadly interpreted clauses in AC AMC contracts. A compressor that failed because the filters were not cleaned frequently enough? Misuse. A PCB that faulted because of a voltage surge? Power issue – excluded. A unit that developed a refrigerant leak because of poor installation by a previous contractor? Pre-existing condition – excluded.

An AMC may not cover all maintenance and repair costs, and additional charges may be incurred for services not included in the contract. The Four Costs AMCs Consistently Miss

Beyond the explicit exclusions, there are four categories of cost that even the best AMC contracts structurally cannot address.

Degradation between visits. An AMC schedules your technician to visit quarterly. In a busy commercial environment – a restaurant, a gym, a retail store – filter blockage and efficiency degradation can occur within weeks. By the time the quarterly visit arrives, the AC has been running at reduced efficiency for up to two months, consuming more electricity than it should. The cost of downtime. When an AC fails in a commercial setting, the AMC contract obligates the provider to send someone within a defined window – typically 24 to 48 hours for most standard contracts. For a dental clinic with patients booked, a salon with full appointment slots, or a restaurant on a summer Saturday evening, 24 hours of no cooling is not an inconvenience. It is a business loss. The AMC does not cover that loss. It only covers the repair.

Gas refills beyond the contract limit. Most AMC contracts include one gas refill per year. If your unit develops a slow refrigerant leak – common in older or poorly installed systems – you may need two or three refills. Each additional refill costs ₹1,500 to ₹3,500 depending on the gas type and the contractor. These are billed directly, outside the AMC.

Reactive versus proactive service. By design, AMC maintenance is scheduled – not data-driven. The technician visits whether the AC needs attention or not. And when faults develop between visits, the AMC responds to them rather than preventing them. The AMC model is structurally reactive, and reactive maintenance consistently costs more than proactive maintenance over any multi-year period.

Before you renew your AMC this year, it is worth sitting with one number. Add up what you spent last year on: AMC fee, repairs not covered by the AMC, additional gas refills, any emergency call-out charges, and the electricity overage from running units that were operating below peak efficiency. For most commercial businesses with two to five ACs, that number is somewhere between ₹18,000 and ₹60,000 per year – and it is not predictable.
